GDPR statement

As part of planning writing and delivering your wedding ceremony Bill Swift Weddings will need to record store and share your personal information.

Bill may also share photos and videos along with any associated tags and written data as outlined below.

 

The way in which your information may be used is outlined below:

 

How the couples data is stored:

The information will be held in electronic format with password protection.

Any paper notes taken during a face to face meeting, phone call or online contact will be held for as short a period as is practicable until they can be transferred into an electronic format and stored securely, after this the paper notes will be destroyed.

Any other paper records will be scanned into an electronic format in order to be stored securely and will then be destroyed.

 

The couple has the right to ask Bill Swift to destroy or delete any of their personal data that he is holding at any time.

However this may affect Bill’s ability to complete the ceremony as agreed.

The couple has the right to view any of their personal data that is held by Bill Swift by requesting this in writing.

 

Bill Swift will retain a copy of the couples script and record of the ceremony for administrative and accounting purposes.

Any other personal data will be destroyed as soon as is practicable after the completion of the wedding ceremony.

 

In the case of email enquiries or if the couple decide not to go ahead with the wedding at any point any personal data held will be deleted or destroyed as soon as is practicable after the couple have made it clear to Bill that they no longer wish to go ahead.

 

When the couples data will be shared:

The couple’s personal information will be shared as part of and in order to facilitate the delivery of the wedding ceremony. They will be given the opportunity to review the script prior to delivery to ensure that they are aware of what information it contains; the couple will have the final say over any personal data included in the ceremony script.

This may on occasion include information deemed ‘sensitive information’ under GDPR legislation.

 

At times Bill may speak to members of the couple’s family or friends for the purposes of creating and delivering the ceremony, this may involve discussing personal information.

Wherever possible the couple will be made aware of any such meetings and have the opportunity to withdraw their consent for their personal data to be shared.

 

Marketing:

Bill Swift may for the purposes of marketing Bill Swift Weddings or Humanists UK share your personal information, he will where practicable seek permission prior to doing so.

This will include sharing and posting on social media (including but not limited to Facebook and Instagram) as well as uploading to Bill’s and the Humanist UK website.
