Data privacy

A new data privacy law, The General Data Protection Regulation (GDPR), requires people like myself, who collect and use personal information, to put your mind at rest that I will do so in a manner that protects your privacy and rights. The GDPR covers the processing of all personal data (defined as any information about, or relating to a living, identifiable, individual, which enables you to identify the person either by itself, or in combination with other information that might be available).

I want to reassure you that I treat your data with the utmost care and will only use or share it for the purposes agreed with you in advance.

GDPR: Any personal or family details discussed are used for the purposes of writing your ceremony, which you will see and approve. I will not disclose these details to anyone who is not a guest at, or connected to, your ceremony. All notes taken are shredded after use. Scripts are retained on computer files protected by firewall and passwords. Printed scripts are destroyed after use. I will send you a paper copy of the presentation script.

This webpage is hosted by Humanists UK and administered by Jane Richardson, Humanist Naming Celebrant. I take your privacy very seriously and ask you to read this policy carefully because it contains important information about me and:

  • the personal information I collect about you,
  • what I do with your information, and
  • who your information might be shared with

What information do I collect and how do I use it?

I collect the following personal information that you provide:

Your name, address, telephone number, email address,

This may be collected when you register an interest in working with me to create a ceremony, when I arrange to meet you, and when I send you a presentation script after the ceremony.

I collect the personal information that you share about your child and your wider family, for the purposes of writing the ceremony. By requesting me to work with you to write your ceremony, you agree to sharing this information.

Please note that I do not receive information about you from third parties.

If I require information about a third party referred to by you, I will approach them directly for that information.

I will only retain emails from you that relate to the current enquiry you are making. If I make notes I will keep this information secure and it will be destroyed when our current contract has ceased. I will keep a secure electronic copy of your ceremony for 5 years.


Who your information may be shared with

I may share your information with: Law enforcement agencies in connection with any investigation to help prevent unlawful activity

I NEVER share your information held electronically or on paper records with any other organisation or individual without your written consent.

Keeping your information secure

All emails are encrypted. All documents are encrypted. All paper records are kept for the duration of our contract and then destroyed. All contact details are stored electronically with your permission.

However, whilst I will use all reasonable efforts to secure your personal data, in using the site you acknowledge that the use of the internet is not entirely secure and for this reason I cannot guarantee the security or integrity of any personal data that are transferred from you or to you via the internet. If you have any particular concerns about your information, please contact me using the details below.


What rights do you have?

Right to request a copy of your information
: You can request a copy of your information which I hold (this is known as a subject access request). If you would like a copy of some or it, please:

  • email, call or write to me (using the contact details below)
  • let me have proof of your identity and address (a copy of your driving licence or passport and a recent utility or credit card bill), and
  • let me know the information you want a copy of

Right to correct any mistakes in your information: You can require me to correct any mistakes in your information which I hold free of charge. If you would like to do this, please:

  • contact me using the contact details below
  • let me have enough information to identify you, and
  • let me know the information that is incorrect and what it should be replaced with

Changes to the privacy policy

I may change this privacy policy from time to time. You should check this policy occasionally to ensure you are aware of the most recent version that will apply each time you access this website.
