Any information provided by the Couple to me is private between us and remains so for the duration of the contract.
Exception
From time to time I will be observed conducting a ceremony by a peer, for quality and CPD purposes. This is a requirement of my licence with Humanists UK. In this instance, the final script is shared with the observer only. Any soft or hard copies used for this purpose are destroyed immediately following production of the required report after the Ceremony.
Management of information
Information provided by the Couple is kept in a folder in hard copy. Soft copy information, for example emails and the developing script is kept within a folder in the email account and/or in a specific file on the computer hard drive and in an online back-up system. All my IT equipment has up-to-date security via Windows Defender, Bullguard and relevant security on my mobile phone.
Following the ceremony, I anonymise the script and keep it for future use. Should any feedback be provided by the Couple, only first names will be used should it be published anywhere. If the Couple prefer, made-up names can be used. Any photographs that I retain (with the Couple’s and photographer’s agreement) are kept in a specific folder on my computer’s hard drive and in an online back-up system. Should any be used names will not be included.
Disposal of information
Any such folders are deleted following the Ceremony. Once a year, in December or January, a second sweep of IT is done to ensure anything missed is deleted.
